APH Census
The APH Federal Quota Census sets your center's federal funding for the year, so the count has to be right and it has to be defensible. We built a dedicated tool to make that happen: accurate submissions, a complete audit trail, and a process your delegates can actually get through without chasing spreadsheets. It runs in the browser with nothing to install, and it works whether you adopt it on its own or alongside the wider Athena platform.
Census without the scramble
Built on Athena's student module, the pre-census readiness check shows you where the problems are before you open the window: a missing parent permission, an expired eye report, an unset eligibility type. You work them down while the clock isn't running, so every gap you close ahead of time is one fewer to chase once the census window is open and the deadline is live. You go in already ahead, with a clean list and the hard part behind you, instead of firefighting data problems against the clock.
See everything, chase what's slipping
With the census launched and every district notified automatically, the dashboard becomes your live picture: which districts have started, how many students are certified, who hasn't responded yet. You put your time into the handful that are behind instead of wondering about the whole list, and you chase them while there's still runway, not in the final week. At any moment you know exactly where the count stands and what's left between you and a complete submission.
Easy to certify, impossible to dispute
Delegates work through their students in one place, reviewing and approving individually or in a batch, with no spreadsheets emailed back and forth and no re-keying the same data twice. When they're ready, districts certify with an electronic signature, so sign-off is a couple of clicks, not a paper chase. The moment they sign, the tool captures a snapshot of exactly what was certified, every student, every field, frozen at that point. If a record changes afterward, a student moves district or an eligibility type gets updated, the certified snapshot stays exactly as it was signed. What each district signs off is what gets submitted to APH, with nothing drifting in between, so you can always show precisely what was approved and when.
Formatted for SRS, ready to upload
When the count's complete, export a file built exactly for APH's Student Registration System, the right reporting codes, the right columns. You download it and load it straight into SRS, with no reformatting, no manual re-entry, no fixing rejected rows. The work you did across the window comes out as a file SRS takes cleanly, first time. And every submission stays on the record: past years are right there in the system whenever you need to pull one up, so you're never digging through old files or inboxes for what you sent and when.
